This Privacy Policy explains how Tripshare LLC (“Tripshare”, “we”, “us”, or “our”) collects, uses, shares, and protects information when you use trip-share.com, offsites.do, retreats.do, related domains, our mobile applications, and any connected services (together, the “Service”).

1. Information We Collect

Account and contact details: Name, primary email address, linked secondary email addresses (for recognized email forwarding), phone number, account credentials, and communication preferences.
Booking and itinerary data: Travel details submitted via email forwarding, document uploads (PDFs, images), manual entry, or clipboard screenshot paste. This includes flight numbers, airlines, airport codes, departure and arrival times, accommodation names, addresses, check-in and check-out dates, car rental details, activities, reservation confirmation numbers, ticket prices, and passenger or guest names.
Travel companions: Names of family members, colleagues, or co-travelers linked to reservations on your itinerary.
Trip coordination data: Trip names, destinations, date ranges, collaborative chat messages, notes, direct messages, ride coordination requests, and room allocations.
Location information: Venues, cities, addresses, and airports you search for or add. If you use the mobile application, device location is accessed only with your explicit permission when you initiate location-dependent features.
Live location sharing: If you turn on "Live" to share your location with your trip group, we collect your device's precise GPS coordinates only while sharing is active. We convert that location into an approximate landmark or neighborhood name for display to your group; your exact coordinates are never shown to other users. Live sharing is strictly opt-in, automatically expires after one hour, and can be ended at any time.
Device and usage information: Device model, operating system version, browser type, app version, IP address, and interaction metrics used to secure and optimize service performance.

2. How We Use Your Information

To organize and display your travel schedule, personal timeline, and group trip boards.
Automated booking extraction: To parse forwarded confirmation emails and uploaded receipts into structured itinerary items. We do not use your private booking data, receipts, confirmation emails, or itineraries to train public foundation machine learning or artificial intelligence models.
To provide real-time schedule updates, flight status alerts, and arrival/departure milestones.
To enable group coordination, ride sharing, stay matching, and private messaging among invited trip members.
To deliver transactional notifications, security alerts, and customer support.
To protect platform security, prevent fraudulent activity, and comply with legal requirements.

3. How Information Is Shared

We do not sell, rent, or trade your personal information. Information is shared only as follows:

With members of your trip:
- Personal Trips: Your personal itinerary timeline is private to your account.
- Collaborative Group Trips: When you assign bookings to a shared trip, schedule details (such as flight arrival times, hotel locations, and departure dates) are visible to members of that trip to facilitate coordination. Confirmation numbers and prices remain private to you by default.
With service providers: Trusted vendors who provide infrastructure, cloud hosting, email routing, database management, and error monitoring under strict confidentiality agreements.
With travel partners: When you voluntarily request group hotel rates or advisor-secured bookings, relevant request details are shared with certified advisor partners (such as Fora), booking providers (such as Booking.com), and relevant hotel properties (such as Marriott, Hilton, or independent hotels) to fulfill your request.
With mapping and address APIs: Mapping landmarks and venue addresses for opt-in Live location sharing and travel coordination are resolved via Google Maps APIs.
For legal and safety compliance: When required by subpoena, court order, or applicable law, or to protect the safety of our users and the public.

4. Data Security

We employ modern administrative, technical, and physical security measures—including TLS encryption in transit, encrypted storage, and access controls—to protect your personal information against unauthorized access, alteration, or disclosure. However, no internet transmission is completely immune from vulnerability; we advise users to maintain independent records of critical travel documents.

5. Data Retention & Privacy Defaults

We believe in data minimization. Transient group coordination details (such as temporary chat messages and ride claims) are cleared after events conclude. Registered account holders may retain their past travel timelines for future reference until they choose to delete them.

Live location data: Location coordinates automatically expire and are purged from active memory when sharing stops, and no later than one hour after initiation.

6. Your Privacy Rights & Choices

You may review, modify, or delete your account information, linked emails, companion profiles, and trip data at any time.
You can manage device permissions (such as camera, photo library, location, or notifications) through your mobile device or browser settings.
You can stop Live location sharing at any point with a single tap.
You may request complete account and data deletion by contacting us.

7. Children's Privacy

The Service is intended for adults and is not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13.

8. Changes to This Policy

We may periodically update this Privacy Policy to reflect improvements to our Service or changes in legal requirements. Material changes will be communicated via notice on our website or directly to your account email.
